Should Schools Utilize Document Storage Facilities?

It is no secret that technology is advancing and FAST. Digital files are becoming the norm for storing information, and old paper files may need a place to call home.  One example where this conundrum may come into play is within school districts.

Schools are now utilizing digital files and records management, but what about their paper files? Floor and storage space is becoming more of an issue as these paper files regarding students, district mandates, and other confidential documents are piling up and taking up valuable space.

Schools are required to maintain student and personnel files for minimum time periods and these files can occupy large amounts of space. Moving these files off-site not only secures them, opens up additional space, but are also securely destroyed after the set retention rate.

If you work at a school or university, what are your thoughts about storing records off school grounds? Can you think of a space right now where files are taking up space that could be utilized for something else?

Contact R4 Services today with any questions YOU may have about Document Storage.

Are Your Documents Vulnerable in Your Office?

Picture this: you are a budding entrepreneur with a thriving start-up, and you're growing at an intense pace. You are consistently designing proposals, signing legal documents, paying your bills, and hiring new employees.  But one large component you might be overlooking is developing an information management system to securely store or destroy your physical and digital files for you and your team.

When you need to store paper files, where are you placing them?

As your company grows, original documents with signatures must be stored safely and securely. Some examples of documents that must be saved for future use include:

-Patents
-Customers’ Documentation
-Contracts with clients or vendors
-Loan paperwork
-Stocks and bonds.

These documents contain sensitive information that could lead to a breach if left in the wrong hands. One way to make sure those documents stay safe and secure is to store them offsite.  No matter if you are a budding entrepreneur or a seasoned vet, developing a consistent and thorough system for storing your records is crucial.

When you need to destroy your documents, what is your process?

After carefully choosing what document storage system is right for you, it is vital to choose what document destruction system is the right fit.  Placing sensitive documents in your garbage at your office is a major mistake.  Keep in mind that your company’s information as well as your client’s can fall into the wrong hands if not handled in the correct way.

Thus, deciding to shred with a NAID certified company is the right avenue to take.  For example, we have custom shredding bins in offices of all kinds so that employees, managers, and even their customers are able to destroy all sensitive material as soon as possible.  The R4 Services team then comes to pick up the bin on a scheduled basis and destroys all documents safely and securely.

Where do I go to get advice?

We can bring order to the chaos within your company by putting our expert Chicago record storage and record management services into place.

Computer hacking and cyber crime is not the only crime that you need to be aware of. Your paper documents can be a source of vital information hackers use in order to access your information.  A way to be sure your personal documents do not fall into the wrong hands is to shred them.

You may want to ask yourself:
What am I throwing into the normal garbage that I should be shredding?  Have I thrown away bank statements, credit card information, bank receipts  without shredding them first?

How about any of the following?

-Address labels from junk mail and magazines
-Birth certificate copies
-Canceled and voided checks
-Credit and charge card bills, carbon copies, summaries and receipts
-Credit reports and histories
-Documents containing name, address, phone or e-mail address
-Documents relating to investments
-Documents containing passwords or PIN numbers
-Driver's licenses or items with a driver's license number
-Employment records
-Employee pay stubs
-Expired passports and visas
-Legal documents
-Investment, stock and property transactions
-Items with a signature

-Medical and dental records
-Papers with a Social Security number
-Pre-approved credit card applications
-Receipts with checking account numbers
-Resumés or curriculum vitae
-Tax forms
-Used airline tickets

-Utility bills (telephone, gas, electric, water, cable TV, Internet)

If you are throwing out any of these pieces of paper into the normal garbage, dumpster divers are ready to steal your information!

There’s no better way to make sure your sensitive information doesn’t get into the wrong hands than by shredding.  You can purchase a shredder and laboriously shred it all yourself or leave it to the experts at R4 Services.

According to the Bureau of Justice Statistics, 17.6 million U.S. residents experienced some sort of identity theft in 2014.  That means millions of people in the United States have had unauthorized use or attempted use of an existing account, new account, or overall misuse of personal information for a fraudulent purpose.

But how are thieves gaining access to this personal information?  One way they may be obtaining sensitive data is by going through your trash.  When you place a piece of paper into your garbage can, it goes through several stages on its way to a landfill, leaving your records available for wandering eyes and hands.

The basic information you need to make sure stays protected includes:
  • Your Name
  • Social Security Number
  • Date of Birth
  • Address
  • Phone Number

The aforementioned basic information is included in most:
  • Tax information & returns
  • Investment Records & Statements
  • Bank Statements & cancelled checks
  • Paycheck stubs
  • ATM receipts
  • Credit card statements
  • Warranties
  • Home financial information

Therefore, the best defense against those who are looking to steal your information is to shred your documents.

R4 Services knows how important your security and overall well-being means to you and your loved ones.  Because of this, we have decided to expand our shredding services to residents. You can purchase a residential shredding bag online, and we will schedule a time to come and pick it up.

Every individual living in a residence or running a business, small or large, is susceptible to getting their information stolen or their data being breached. With identity fraud hitting a new victim every two seconds and the average security breach costing a business $5.85 million in fees and lost revenue, it’s now more important than ever to invest in proper document destruction and shredding services.

In order to stay on the cutting edge, shredding companies, like R4, are aiding with the destruction of documents by offering mobile, customized shredding solutions.  The word “mobile” is defined as “able to move or be moved freely or easily.”  With time and efficiency always being a factor when it comes to getting documents safely and securely destroyed, off site document shredding aims to provide customers with flexible options that best meet your business needs.

Mobile shredding may be the best option for your company or residence.  That’s why at R4 Services, we keep up with the trend of mobile shredding by:

  • Installing locked, tamper-proof containers at your location for disposal of all sensitive materials.
  • Collecting material to be shredded and securely transport it for disposal. A receipt of items received will be issued at the time of collection.
  • Confidentially shredding the material under the supervision of insured employees.
  • Baling and shipping the shredded material to be converted into new useable products.
  • Issuing a Certificate of Destruction upon completion of the destruction process.
  • Issuing of a Sustainability Report  to your impact on the environment while staying compliant. See sample Sustainability Report!
